How to choose coaching software
A feature checklist tells you what a tool has. It doesn't tell you what breaks when your roster grows, or what a demo won't show you. Here are the 8 questions that actually predict fit, before any pricing page.
Start from your coaching style and where your roster will be in a year, not today. Price out nutrition, automation, and payments as separate line items rather than trusting a headline number. Ask about migration and data export before signing up, not after. Everything below exists to make those three habits concrete.
What does my roster actually look like in a year, not today?
A tool sized for 5 clients and one sized for 50 make different tradeoffs. Buying for where you are today and outgrowing it in six months costs a second migration — buying for a size you'll never reach means paying for dashboard overhead you don't use.
Is nutrition tracking real food logging, or a habit checklist?
"Nutrition included" can mean a client checks a box for hitting a protein goal, or it can mean photo-logged meals with a searchable history. These are different features at different price points — ask specifically which one a plan includes before comparing sticker prices.
What's the total price at MY client count, add-ons included?
Headline prices are usually quoted at a low client count with no add-ons. Price out nutrition, automated check-in follow-ups, and payment processing separately, then add them at the roster size you'll actually run — the number often moves 50-100%.
What happens to my data and templates if I leave?
Ask before signing up, not after: can you export your client records and program templates, or are they locked into the platform's format? A tool that makes leaving easy is usually more confident in its own value than one that isn't.
Who actually writes the weekly check-in reply?

Is the free trial a real trial, or a countdown to a card charge?

What breaks first if my roster doubles overnight?
Ask directly, or find out from reviews: does the tool degrade gracefully (slower, but functional) or does something concrete fail (check-ins silently missed, messages buried, plans that stop generating)? This is the question a demo rarely answers honestly — search for it instead.
